Room calendars, not duplicate schedules

Start with the calendar representing each bookable room. The control software is intended to obtain its reservations, select the information allowed on the sign and deliver a layout through the base stations. Names used in Outlook and names printed on doors should be matched during setup.

Microsoft Graph provides calendar capabilities with permissions governing access. The exact authorization model, supported Microsoft 365 environment and connector readiness must be confirmed for the supplied system. A marketing page is not a claim that a live connection has already been deployed in your tenant.

Give the administrator a bounded setup task

Prepare a room list, a nominated Microsoft 365 administrator and a decision about public meeting details. Reading availability and creating a booking are different capabilities: a display-only pilot may not require the same access as walk-up reservation buttons.

• Identify room resources and their calendars.
• Approve the integration’s access to the intended rooms.
• Map each plate to its room and choose an editable template.
• Test recurring meetings, changed times and cancellations.
• Validate booking write-back and conflict handling before enabling walk-up reservations.

Keep the employee workflow familiar

Once commissioned, employees should continue inviting the room in their usual Outlook booking flow. A plate at a free room can offer an immediate reservation using its contextual buttons where the integration supports it. Calendar acceptance must precede a confirmed reserved state.

Decide whether the corridor should show meeting titles or only availability and times. Test private events and the offline display state as part of the pilot. The plate is not an occupancy detector and should not imply that a booked room necessarily contains people.
