Electronic meeting room signs that follow your calendar
A meeting room sign answers a simple question at the door: can we use this room? A calendar-connected electronic sign can show reservation information where the decision is made, without asking people to maintain a second schedule.
Keep the room calendar as the source of truth
In the intended system, Outlook / Microsoft 365 or Google Calendar holds the room reservations. Control software reads the relevant room information, prepares the chosen layout and sends updates through the base-station network to the plate.
An administrator handles the initial room mapping and access permissions. After setup, employees make their normal calendar reservations. Moving, cancelling or extending a meeting needs to be tested during commissioning so the information at the door follows the same rules as the calendar.
Reserve a free room at the door
Each plate has three physical buttons. A booking layout can label them on screen with choices such as “Book 15 min”, “Book 30 min” and “More”. Those meanings belong to the application; they are not permanent printed labels.
A button press should request a booking through the control software. The calendar must confirm that the slot is still available before the plate represents it as reserved. This matters when someone books the same room from a laptop at the same time. Button functions and booking write-back remain subject to integration validation.
Make the first view useful at walking distance
Prioritize the room name, current availability and next booking time. Show the meeting title only when the company’s privacy rules allow it. A 7-inch, 800 × 640-pixel panel offers space for a more detailed layout; smaller models can keep the view simpler.
- Confirm which calendars represent physical rooms.
- Define maximum walk-up booking duration and conflict rules.
- Plan what the display should show if updates are delayed.
- Test room changes, recurring reservations and cancellations.
Questions, answered.
Do people need a new booking app?
Not for normal calendar bookings after the integration is configured. They continue using their existing Outlook or Google Calendar workflow.
Is the display a live occupancy sensor?
The calendar indicates reservation status. It does not prove people are physically present; occupancy sensing is not part of the stated specification.
