Room booking display: reservations at the door
A room booking display shows the reservation status of a physical room. It translates calendar information into a view someone can read at the entrance.
A calendar is the source; the display is the view
In the specified Electronic Nameplate system, control software connects the room’s Outlook or Google Calendar information to its plate. Employees continue using normal calendar reservations after administrator setup.
The display should make it easy to distinguish the current status from the next booking. A template can hide private meeting subjects while retaining useful availability information.
Booking and occupancy are different
A reserved room may be empty, and an unreserved room may contain people. Calendar information alone does not establish physical occupancy. The current specification does not include an occupancy sensor.
An action needs confirmation
Three physical buttons can offer a short reservation on an available room. The requested interval needs approval by the connected calendar before the view indicates a confirmed booking.
When evaluating a system, ask about conflicts, maximum booking duration, private events, connectivity loss and stale information. These operational details matter as much as the screen’s diagonal size. A useful pilot scenario is a free room with another reservation starting in twenty minutes. The system should not offer a confirmed thirty-minute booking that overlaps it. Agree how shorter durations are offered and how the plate explains a rejected request before making the workflow available to everyone.
