Use a calendar that represents the physical room

For Google Workspace, room resources provide a clear link between an event and a physical space. Google documents that a resource can be booked by adding its email address as an attendee. The display project should begin with a reliable list of those rooms and their booking policies.

The proposed integration maps each room’s calendar to a plate. It is not a system that reads every employee’s Gmail inbox. Gmail and Google Calendar are separate services; the information needed here is room reservations in the calendar system.

Set up once, then keep booking normally

An administrator must authorize the integration and decide which calendar fields are allowed to appear. After commissioning, staff continue their normal room-booking workflow in Google Calendar rather than keeping a second schedule in signage software.

Templates determine whether a plate shows only availability, the next meeting time or additional room details. On a public corridor, a generic “Reserved” label may be more appropriate than exposing a private event title.

Confirm reservations made at the plate

Three physical buttons can offer contextual choices for an available room, such as a short booking duration. The control software must request and confirm the reservation with the calendar before displaying it as accepted.

Supported account types, authorization, update timing and booking write-back are implementation details to validate in a pilot. Do not assume a consumer Gmail account and a managed Workspace room resource have the same configuration or policies.
