1. Identify the room resources

List the rooms, their calendar identifiers and the policies used to accept reservations. Google Workspace supports resources such as meeting rooms; Google documents that booking a resource involves adding its email address as an attendee.

Check how staff currently reserve rooms. If bookings exist only as text in personal events, the data may not provide a dependable room schedule. Establish the room-resource workflow before assuming a display can infer it.

2. Authorize and map the connection

A company administrator needs to review the access required by the chosen connector. Confirm supported account types and the difference between reading reservation information and creating a booking. Do not publish a room calendar just to avoid proper authorization.

In the proposed system, the control software maps the calendar to a plate, applies an editable template and sends the result through a base station. Keep public fields deliberate: a room name and “Reserved” status may be enough without exposing an event’s subject.

3. Validate the complete journey

Test a normal reservation, a cancellation, a recurring event exception and a changed time. Check that the same room appears correctly in Calendar and at the door. Include time-zone settings and the recovery from an interrupted connection.
